Clarifications and Contractual Definitions

Details on the interpretation of terms used within the Mobility Logistics solution, to avoid operational and legal ambiguities.

"Mixed fleet" refers to the set of vehicles owned or used by a company, which includes both company cars and light or heavy commercial vehicles, regardless of the ownership regime (direct ownership, operational or financial leasing, rent-a-car). The platform treats all these categories uniformly, but the calculation of technical wear and operating costs is differentiated, depending on the vehicle type and the associated contract.
Technical wear is estimated based on a proprietary mathematical model that integrates: actual mileage, engine operating hours, number of acceleration/braking cycles, average engine temperature, and service history. Accounting or tax depreciation is not considered, only the measurable physical degradation of components. The result is expressed as a wear percentage and an estimated interval until the next mandatory service.
Corporate overhead expenses include indirect costs associated with fleet management: administrative staff salaries, parking space rent, unallocated insurance premiums, office supplies, and time spent on invoice reconciliation. The platform reduces these expenses by automating reporting processes, generating proactive alerts, and optimizing routes, which leads to a decrease in administrative work hours and the elimination of contractual penalties.
The platform generates automatic notifications 30, 14, and 7 days before the estimated deadline. If the service is not performed, the system records a deviation and may block the vehicle's allocation for new routes, depending on the configuration set by the administrator. Responsibility for meeting legal service deadlines remains with the company; the platform only provides a monitoring and alerting tool, not a direct maintenance service.
Drivers' personal data (name, unique identification code, driving history) is processed exclusively for the purpose of fleet management and route optimization, in accordance with Regulation (EU) 2016/679. The platform does not store biometric data, exact location outside working hours, or sensitive information. Drivers have the right to request the rectification or deletion of data, except in cases where processing is necessary for the fulfillment of contractual obligations.
Route optimization refers to the automatic generation of routes that minimize total distance, estimated travel time, and fuel consumption, taking into account traffic restrictions, time windows, and driver preferences. The algorithm's limitations include: traffic data updates every 5 minutes (not absolute real-time), the inability to anticipate unforeseen events (accidents, roadblocks), and dependence on the accuracy of user-entered data (addresses, tonnage, restrictions).
